I have been using Windows Live Sync since it was called Folder Share.

I run a small business with some inside employees and also some outside employees (salespeople, do not work in the office)

Live Sync worked well for what we needed but we have outgrown its usefulness.

We can't have a file open by more than one person or it saves another version of the file and there's no reconciliation.
Also, we've been experiencing a problem lately where the shared folders become "unsynced" due to a file name longer than 255 characters. We don't name any files anywhere near 255 characters, so we aren't sure what the problem is.

Is a VPN a good alternative to this? We have to share documents such as: quotations, invoices, Purchase Orders, Blueprints, text, technical documents and photos. What's the best way for a small business of 10 people, in various locations, to have access to these types of documents? Access control is very important. Some documents need only be accessable to 2 peope, others need to be accessable to all employees.

We have a VPS running on Linux so that would be our starting point.

What you are describing is the perfect use case for Sharepoint or similar, not Live Sync.

You can get the free Windows Sharepoint Services installed on Windows Server 2003/2008 or Small Business Server 2003/2008.

If you only have a Linux server available then you can get Sharepoint hosted (from Microsoft or other providers).
Or if you prefer to stick with a linux solution, there are several options available here: http://php.opensourcecms.com/scripts/show....p;cat=Groupware.

Other options for you are:
http://smallbusiness.officelive.com/en-us/ - OfficeLive Small Business allows for document storage and collaborative editing/check-in-check-out
http://docs.google.com - Google Docs (especially when tied into a Google Apps for your Domain account) allows for collaborative editing.

Again based on your described use case, Windows Live Sync or other sync type tools seems to be the least useful. What you need is a document collaboration system.

To narrow down, which one is the best for you would take additional analysis of your needs and environment. PM me if you'd like to discuss.
